Introduction to the I-Cards Module

The I-Cards Module in ERP SchoolAura enables school administrators to generate, customise, preview, and print identity cards for both students and staff — all from a single, intuitive dashboard. With built-in QR codes, parent pass functionality, and batch-print support, the module removes the manual effort traditionally involved in school ID-card production.

Student I-Cards

The Student I-Cards section (URL: erp.schoolaura.com/student_icard) displays all active student identity cards for the selected academic year. Each student entry shows two cards: a red Student ID card and a blue Student Pass.

Upon entering the Student I-Cards section, you will see:

Total card count badge shown next to the page title.

Selected I-Card counter at the top right, showing how many cards are currently selected for printing.

Action buttons: Clear Print List, Select All, Print, and Save ZIP.

A grid of student cards — each student occupies two cards (Student I-Card and Student Pass).

Each card displays the following student information:

Filtering & Searching Student I-Cards

Use the filter controls at the top of the card grid to narrow down the displayed cards.

Filter by Class – Click the Select Class dropdown and choose a class (e.g., 12th Science, LKG).

Filter by Section – Click the Select Section dropdown and choose a section (e.g., A, B, C, D).

Search by Name / ID – Type a student name, enrollment number, or parent name into the Search bar and press Enter.

Reset Filters – Click the circular refresh button next to the search icon to clear all filters.
Combining class, section, and name search gives you the most targeted results

Selecting I-Cards for Print

You can select individual cards or all cards at once before printing.

Individual Selection
To select a single card, tick the checkbox at the top-right corner of any card. The 'Selected I-Card' counter at the top will increment.

Select All
Click the Select All button to select every visible card in the current filtered view. The counter will update to show the total

Clear Selection
Click Clear Print List to deselect all currently selected cards and reset the counter to 0.
Selecting cards after applying class/section filters allows you to print cards for a single class without manually deselecting other students

Printing Student I-Cards

Once you have selected the desired cards, follow these steps to print.

Ensure the required cards are selected (the 'Selected I-Card' counter shows a number greater than 0).

Click the Print button (printer icon) at the top right of the page.

Your browser's print dialog will open. Choose your preferred format:
Portrait – 3×3 (9 per page)Landscape – 5×2 (10 per page)Single I-Card (1 per page)

Click Print in the browser dialog to send the job to your printer.
The print layout is pre-formatted for standard A4 paper. For best results, set browser print margins to 'None' or 'Minimum' and ensure 'Background graphics' is enabled in the print settings.

Saving I-Cards as ZIP

The Save ZIP feature allows you to download selected I-Cards as a compressed archive for offline storage, email distribution, or bulk printing via a third-party tool.

Select the desired student cards using the checkboxes or Select All.

A ZIP file will be generated and downloaded to your device automatically.

Extract the ZIP file to access individual card files ready for printing or sharing
ZIP downloads are useful when preparing card files for an external print shop or for archiving at the end of an academic year

Staff I-Cards

The Staff I-Cards section lists identity cards for all school staff members. Unlike student cards, staff cards use a golden/amber design and display employment-related details.

The Staff I-Cards dashboard shows:

Total staff card count badge next to the page heading.

Selected I-Card counter at the top right.

Action buttons: Clear Print List, Select All, Print.

Filtering & Searching Staff I-Cards

Staff cards can be filtered by category and searched by name.

Filter by Category – Click the Select Category dropdown to filter by staff role (e.g., Teacher, Admin, Security Guard, Accountant).

Search by Name – Type a staff member's name or employee ID into the Search bar and press Enter.

Reset Filters – Click the refresh/reset icon next to the search bar to clear all filters.

Selecting & Printing Staff I-Cards

You can select individual cards or all cards at once before printing.

The selection and print workflow for staff cards mirrors the student card process:

Tick individual card checkboxes or click Select All to choose cards.

Staff I-Cards do not have a 'Save ZIP' option. Use your browser's 'Save as PDF' print destination if you need a digital copy of staff cards

I-Card Settings (ICard Setup)

The ICard Setup page is your central control panel for customising the appearance and content of all I-Cards. Changes saved here apply instantly to the live preview and to all subsequently printed cards.

Header Text Configuration

The Header Text field defines the school name or title that appears at the top of every I-Card. It supports basic inline HTML tags for formatting, such as bold text, font colors, and styling. If no formatting is required, you can also use plain normal text.

Default Example

<Red>X</Red>yz School

Renders the letter 'X' in red and 'yz School' in default colour.

Supported Tags

<Red>...</Red> for red text<Yellow>...</Yellow> for yellow text<Green>...</Green> for green text

Example with normal text:

Plain text is also fully supported.

Keep header text concise — ideally under 20 characters — to avoid overflow on the card layout.

Header Font Size

Default Value

16 px

Recommended Range

14 to 20 px for most school names

Tip

Decrease for longer names to prevent text wrapping.

The Footer Text field defines the school address or contact information displayed at the bottom of each I-Card.

Enter your school's full postal address across one or two lines.
This text appears in the bottom section of both Student and Staff cards.
You can include phone numbers, website URLs, or district names as needed.
Multi-line footer text is supported. Press Enter within the text area to add a second line

Tip

Smaller size recommended if your address is long.

Three radio button options control which card types are generated per student:

Student I-Card Only

Generates only the red Student ID card for each student.

Student Pass Only

Generates only the blue Student Pass.

Student Card and Pass

Generates both the Student ID card and Pass side by side. (Default recommended)
'Student Card and Pass' is selected by default and is the most commonly used option at the start of each academic year.

Selecting an I-Card Template

The Select ICard button (top right of the ICard Setup page) allows you to browse and apply different pre-built card templates.

Click the Select ICard button to open the template gallery.

Browse the available templates displayed as card previews.

Click on a template to apply it. The live preview on the right will update immediately.

Verify the card layout in the preview panel before saving.
The live preview shows both the Student ID card and the Student Pass side by side, reflecting all current header, footer, and template settings in real time.

Saving Your Configuration

Once you have configured all settings to your satisfaction, you must save them for the changes to take effect on all I-Cards.

Review the live preview panel on the right to confirm the card appearance.

Click the Save button (amber/gold button at the bottom of the settings form).

A success notification will confirm that your settings have been saved.

Navigate to Student I-Cards or Staff I-Cards to verify the changes are reflected.
Settings are saved globally and apply to all academic year card generations until changed again

Step-by-Step Workflow: From Setup to Print

Follow this end-to-end workflow at the start of each academic year for a smooth I-Card generation process:

Step 1 – Configure I-Card Settings

Go to I-Cards > I-Card Setting. Enter your school name in Header Text, set font sizes, add the school address in Footer Text, select the print mode ('Student Card and Pass' for full generation), and choose a card template. Click Save.

Step 2 – Verify Student Data

Ensure that all student records in Student Management are up to date, including names, enrollment numbers, class/section assignments, contact numbers, and parent names.

Step 3 – Navigate to Student I-Cards

Go to I-Cards > Student I-Cards. The total badge should reflect the expected number of students.

Step 4 – Filter by Class/Section (Optional)

Use the Select Class and Select Section dropdowns to narrow the view if you wish to print cards class-by-class rather than all at once.

Step 5 – Select Cards

Click Select All to select all visible cards, or manually tick individual card checkboxes for a targeted selection. The Selected I-Card counter will confirm the count.

Step 6 – Print or Download

Click Print to open the browser print dialog and print directly, OR click Save ZIP to download all selected cards as a ZIP archive for offline/bulk printing.

Step 7 – Repeat for Staff I-Cards

Navigate to I-Cards > Staff I-Cards. Filter by category if needed, select all staff cards, and print.

Tips, Best Practices & Troubleshooting

Best Practices
Always complete I-Card Settings before printing to ensure consistent branding across all cards.
Use the 'Student Card and Pass' mode by default to avoid a second print run for student passes.
Print a single test card first before launching a full 300-card print job.
Use Save ZIP for bulk print orders sent to an external print vendor.
Update student photos in the Student Management module before card generation for accurate IDs.
Use the class/section filter to distribute card printing across multiple sessions if printer capacity is limited.
Common Issues & Solutions
Issue
Cards show no student photo
SolutionStudent photos may not have been uploaded in the Student Management module. Navigate to Student Management, open the student profile, and upload a passport-size photo.
Issue
Header text appears cut off on the card
SolutionReduce the Header Font-Size in I-Card Settings (try 13 or 14) or shorten the header text.
Issue
Print dialog shows blank pages
SolutionEnable 'Background graphics' in your browser print settings. Also ensure the printer driver is correctly installed.
Issue
Save ZIP button is not visible
SolutionThe Save ZIP feature is available only for Student I-Cards, not Staff I-Cards. Use the browser's 'Print to PDF' function for staff cards.
Issue
Selected I-Card counter shows 0 after clicking Select All
SolutionRefresh the page and try again.
Issue
QR code is not scanning correctly
SolutionEnsure the enrollment number and student data are correctly entered in the student profile. QR codes are auto-generated from student data and will update once records are corrected.
