Offline Exams Module

The Offline Exams module in ERP SchoolAura enables schools to manage the complete offline examination lifecycle including exam creation, subject setup, datesheet management, admit card publishing, and marks entry.

Navigating to Offline Exams

Open Sidebar

Log in to ERP SchoolAura and open the left navigation menu.

Expand Exam Management

Locate Exam Management and expand the submenu.

Select Offline Exams

Click Offline Exams to open the Exam List page.

Exam List Page

The Exam List page displays all offline exams as cards.

Exam Card Information

Exam Name

Displays exam title and exam type.

Session

Shows academic session and exam category.

Publish Dates

Date sheet and admit card release dates.

Actions

Add/Edit Marks and Datesheet buttons.

Filtering & Searching Exams

Exam Category

Filter exams by category.

Exam Search

Search exams by exam name.

Search Button

Apply selected filters.

Refresh

Reset all filters.
Note: Always verify the academic session before performing actions.

Creating a New Exam

Form Fields

Exam Category *

Select exam category.

Exam Name *

Enter exam title.

Exam Type *

Select Unit Test, Terminal, etc.

Exam Session *

Choose academic session.

Publish Date Sheet *

Date when datesheet becomes visible.

Publish Admit Card

Controls admit card visibility.
Note: If you do not want to publish the admit card, select a date that is after the exam date. The system will not publish it automatically.

Create & Reset Actions

Create

Saves the exam and opens subject setup.

Reset

Clears all fields without saving.

Adding Subjects to an Exam

After creating an exam (or by clicking Add/Edit Marks on an existing card), you land on the Add Offline Exam page.

Select Class & Section

Class

Choose class to load subject grid. The subject grid will load automatically.

Section

Choose section or All Section.

Configure Options

Passing %

Toggle ON to enter a separate passing percentage for Theory and Practical for each subject.

Datesheet

Toggle ON (default) to attach date/time scheduling for each subject. Reveals date and time pickers per subject row.

Fill Subject Details

Each subject row shows two columns: Theory and Practical.

Theory Max Marks

Enter the maximum marks for the written/theory component.

Practical Max Marks

Enter the maximum marks for the practical component.
Note: Click the Theory or Practical Max Marks field to make it optional and leave it blank if marks are not required.

Passing Criteria (%)

Visible only when the Min % toggle is ON. Enter the minimum pass percentage.

Date & Time fields

Visible only when the Datesheet toggle is ON. Set the exam date, start time, and end time.

Create Exam

Create Exam

Saves all subject configurations.

Reset

Clears unsaved changes.
Note: Repeat Steps from Select Class & Section to Create Exam for each class and section that will appear in this exam. Each class-section combination is saved independently.

Load students for marks entry.

Student list appears with subjects.

Enter Marks

Type obtained marks in input fields.

Update

Save marks row-wise.

Important : Marks cannot exceed the Theory Max Marks or Practical Max Marks set during subject configuration. Validate entries before saving.

Managing the Datesheet

Each exam card on the Exam List has a 'Datesheet' button. Click it to view or edit the date/time schedule for each subject under that exam.

The datesheet is populated from the date/time fields entered during subject setup.

The Publish Date Sheet date (set when creating the exam) controls when the datesheet becomes visible to parents and students via the portal.

Editing or Deleting an Exam

Click the three-dot (⋮) menu on any exam card to reveal two options.

Modify existing exam details and save changes.

Delete Exam

Delete Exam

Permanently removes exam data, subject setup, and entered marks.

Important : Always confirm with stakeholders before deleting an exam. All associated marks and datesheet data will be permanently erased.

Always confirm the correct academic session before creating or editing exams.
Use consistent exam naming conventions.
Enable datesheet publishing for student visibility.
Enter marks soon after exams are conducted.
Use All Section when subject setup is identical.
Verify max marks carefully before saving.
