Fees History

The Fees History screen provides a complete audit trail of all fee transactions for the selected academic year — including payment mode breakdowns, relief applied, fines, and outstanding balances.

Summary Tiles

Five colour-coded summary tiles appear at the top of the Transaction History screen:

By Cash

Total fees collected in cash across the filtered period.

By Online

Total fees collected via online payment gateway.

By Cheque

Total fees collected by cheque.

Total Collection

Combined total of Cash + Online + Cheque + Fine collected.

Total Due

Outstanding fee amount yet to be collected.

Filter Options

Receipt Type

Filter by Active or Cancelled transactions.

Class

Select a specific class to view only that class's transactions.

Section

Narrow to a specific section within a class.

Start Date

Beginning of the date range.

End Date

End of the date range.

Student Search

Search by student name or email address.
Tip : The default date range covers the full academic year. Narrow the range to a specific month for monthly reconciliation.

Transaction Table Columns

Recp. No.

Unique receipt number auto-generated by the system for each transaction.

Student Name

Full name and class-section of the student.

Date

Date the payment was recorded.

Fee Summary

Name of the fee head collected (e.g. Tuition, Transport). Shows '–' if not broken down.

Amount

Gross fee amount billed for this transaction.

Relief

Any discount or concession applied to this student.

Fine

Late payment fine added (if applicable).

Paid Amount

Net amount actually received: Amount − Relief + Fine.

Due

Remaining balance after this payment.

Mode

Payment method: Cash, Online, or Cheque.

Transaction No.

Bank reference or gateway transaction ID (for Online/Cheque payments).

Action

Icons: Print Receipt | Cancel Transaction | Delete Record.

Per-Row Actions

🖨 Print Icon

Generates and opens a printable fee receipt for the transaction.

✕ Cancel Icon

Cancels/reverses the transaction. A confirmation dialog will appear. Use this if a payment was entered incorrectly.

🗑 Delete Icon

Permanently removes the transaction record. Cannot be undone. Only use if the transaction was a duplicate entry.
Important : Cancelling a transaction adds the paid amount back to the student's Due balance. Deleting a transaction removes it entirely without restoring the due balance — use with caution.

Download Fee Report — All Fees Report

The Download button opens the All Fees Report dialog, which lets you choose exactly which columns to include before printing or exporting the fee report.

How to Use the All Fees Report Dialog

Apply any desired filters (class, section, status, search term) on the Fees Details screen.

Click the Download button (orange, top-right). The All Fees Report dialog will open.

Select the columns you want to include in the report (see column reference below).

Tick "Include address in Father Name / Contact column" if you want the student's address appended to that column.

Click Print to generate the report. Use Landscape mode in your browser print settings for best quality.
Tip : Use Select all to check every column at once, or Clear all to uncheck everything and start fresh with only the columns you need.

Available Columns in the All Fees Report

Admission No

Student's unique admission number.

Basic Info.

Student's full name and date of birth.

Class

Class the student is enrolled in (e.g. Play, LKG, 5th).

Section

Section within the class (e.g. A, B).

Father Name / Contact No.

Father's name and registered mobile number.

Mother Name / Contact No.

Mother's name and registered mobile number.

City

City from the student's address record.

State

State from the student's address record.

Pincode

Postal code from the student's address record.

Fees Status

Current payment status: Paid, Partially Paid, or Unpaid.

Total Year Amount

Total fee amount billed for the full academic year.

Total Till Now

Amount payable up to the current date.

Total Collection

Total amount collected so far.

Total Due

Remaining outstanding amount.

Include address in Father Name

Appends the student's full address into the Father Name / Contact column.
Tip : Deselecting columns like City, State, and Pincode gives a more compact report. For a simple dues list, keep only Admission No, Basic Info., Class, Section, Fees Status, and Total Year Amount.
Note : The Print button sends the report to your browser's print dialog. Select "Save as PDF" as the printer destination to get a downloadable PDF file.
